Surgical Scheduler -ENT

Job Description:

The Surgery Scheduler – ENT is responsible for coordinating and scheduling surgical procedures for patients within the ENT specialty. This role requires exceptional organizational skills, attention to detail, and the ability to work collaboratively with surgeons, patients, and clinical staff to ensure smooth pre-operative and surgical workflow.

Key Responsibilities:

  • Schedule surgical procedures for ENT patients accurately and efficiently, coordinating with surgeons, operating room staff, and patients.
  • Communicate pre-operative instructions, preparation guidelines, and required documentation to patients.
  • Verify insurance coverage and obtain necessary authorizations for surgical procedures.
  • Coordinate with multiple departments (billing, clinical, anesthesia, and lab) to ensure all pre-surgical requirements are met.
  • Maintain and update patient records in the electronic medical record (EMR) system.
  • Manage surgical schedules to optimize operating room utilization while accommodating urgent or emergency cases.
  • Serve as a point of contact for patients regarding surgery-related inquiries, changes, or cancellations.
  • Ensure compliance with hospital policies, HIPAA regulations, and quality standards.
  • Assist in resolving scheduling conflicts and address any patient concerns professionally.

Qualifications:

  • High school diploma or equivalent; associate degree or medical office training preferred.
  • Proven experience in medical scheduling, preferably in ENT or surgical settings.
  • Knowledge of surgical terminology, procedures, and insurance authorization processes.
  • Proficiency in EMR systems and Microsoft Office Suite.
  • Excellent organizational, communication, and interpersonal skills.
  • Ability to work in a fast-paced environment and manage multiple priorities.

Working Conditions:

  • Office-based role within a clinical or hospital setting.
  • May require occasional evenings or extended hours to accommodate surgical schedules.
